Privacy

How Cloudhance handles the details you send us and the visits we count.

Who we are

Gopal Consulting Ltd, trading as Cloudhance, is the controller of the personal data this page describes. Registered in England and Wales, company no. 06877002. Registered office: 11–12 Old Bond Street, Mayfair, London W1S 4PN.

What we collect

When you send one of our forms, we keep your name, work email and firm name, with either your firm size and sector or the number of users you need. We also keep the campaign tags of the page you sent it from, so we know which advert or link brought you.

If you ask for your readiness check gaps by email, the form also sends us your result and gaps. They reach us only in the message that tells us about your enquiry.

With each form we record that you agreed we may contact you about your enquiry: which notice you agreed to, on which page, and when.

When you open a page, press one of our buttons, start a form, or start or finish one of our checks, our own server records what happened, the page, the time, the overall result of a check (never your answers), the name of the website you came from, any campaign tags in the link, and a code that groups that day’s visits.

That code is worked out on our server from your network address and browser details, under a key that changes every day, so one day’s code does not match the next. We do not store your network address or browser details with it.

Our server sends a copy of those counting records, without your name, email or network address, to PostHog in the EU, which draws our charts.

This site sets no cookies and stores nothing on your device.

Booking a time

Our booking calendar is provided by Cal.com. Nothing of theirs loads until you press “Choose a time” or open the booking page: before that, nothing is requested from Cal.com and nothing of theirs is set on your device.

Once you do, the calendar loads from cal.com, inside this page or in a new tab, and Cal.com may set its own cookies on cal.com, such as a security cookie that tells people from automated traffic. What you enter to book goes to Cal.com, which makes the booking for us.

If you would rather not use Cal.com, send the form instead and we will email you to arrange a time.

Why we may use it

Your enquiry: to reply to you and take the steps you ask for before any contract (UK GDPR Article 6(1)(b)).

Counting visits: our legitimate interest in knowing which pages and campaigns lead to enquiries (Article 6(1)(f)). We keep only what that needs, and you can object at any time.

Protecting the forms: our legitimate interest in keeping the site working (Article 6(1)(f)). Cloudflare counts the requests from each network address for one minute and turns away floods.

Booking a time: steps you ask for before a contract (Article 6(1)(b)), and only once you press “Choose a time” or open the booking page.

Who receives it

Cloudflare runs this site and the database that holds your enquiry and our counting records.

PostHog, in the EU, receives the counting records to draw our charts. It never receives your name, your email or anything you type.

Cal.com receives what you enter in the booking calendar, and only if you open it.

The service that alerts us to a new enquiry receives its details, so that we can reply quickly.

When we prepare a proposal for you or support you as a client, the partners who deliver our service under the Cloudhance name receive what they need for that work, as our sub-processors under written terms.

We do not sell your details, and no advertising network runs on this site.

Where any of them handles your data outside the UK, it does so under UK adequacy regulations or the UK addendum to the standard contractual clauses.

How long we keep it

An enquiry that does not lead to work is deleted 24 months after our last contact. A client’s details are kept while we work together, and afterwards for as long as the law requires.

The record of your agreement is kept, and deleted, with your enquiry.

Counting records are deleted 25 months after the visit they record. They hold no name, email, network address or browser details, only the daily code described above. A form you send is counted at the moment you send it, so someone who could read both our records could match that day’s code to your enquiry; only we can. PostHog deletes its copy on its own schedule.

Cal.com keeps a booking under its own terms, and deletes it when we ask.

Your rights

You can ask for a copy of what we hold about you, ask us to correct or delete it, ask us to limit how we use it, object to our using it, or ask for it in a form you can take elsewhere.

To use any of these rights, or to ask about this page, write to info@cloudhance.com or to our registered office. We reply within one month.

Our counting records carry only that day’s code, so we cannot find them by your name or email.

If you are unhappy with our answer, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
